.....your plan for success
Welcome to SmartPlanner. What is SmartPlanner and how does it work, what makes it unique and why would it work for you?
Well, SmartPlanner is a comprehensive, dynamic Excel Project Planning tool which uses the information provided to produce an excel project timeline graph, or Gantt chart as it is often called. Unlike other excel project timeline spreadsheets, SmartPlanner can dynamically link tasks and take account of resources and working calendars. It is made up from the following 6 sections which are explained below:
1 – THE PLANNER
2 – THE RESOURCE MANAGER
3 – THE PROJECT CALENDAR
4 – THE ALLOCATION MANAGER
5 – HELP PAGES
6 – WORK SHEET
The SmartPlanner excel project timeline software is simple to use and has many features. After reading the overview info below, you may wish to see a list of some of the key features. SmartPlanner will run on a simple PC which has Microsoft Excel installed, check the system requirements or download the demo version to see how simple it is to use.
The Planner is the heart of the system and is simply arranged in two main sections, the User Input Table on the left and on the right, the excel project Timeline Gantt chart. Above these is the Header Section containing Project data and controls, such as Project Start Date and Gantt Chart display controls, such as scale etc.
Getting started could not be easier, simply:
- Enter the Project Name and Revision / version
- Enter the Project Start Date
- Enter the Task information as required, such as: Task title, Task duration, who will do the task
(Resource), Milestone dates, ....and so on. You can even easliy link tasks to each other!
As soon as a task has a duration, the Planner will automatically and dynamically calculate task start and end dates based on a set of inbuilt simple rules and refresh the Timeline Gantt Chart
It is that simple !
With this feature, you can manage the resources, i.e. the people, who will be working on the project.
ADD the people who will be working on the project tasks as and when you realise they will be working on the project, so you don't need to list them all at the beginning. You will only need to add a person to this list if you wish to assign them a specific task through the Planner. Note that the Planner does not need a resource to be is assigned to a task, in which case it will default to the "Project Resource".
With this feature, you can manage the default Project Calendar and up to 5 personal calendars.
These settings are then used by the Planner when calculating the task start and end dates. For example, a task with a duration of 5 days will take only 1 calendar week if Monday to Friday are all working days, but will take 5 calendar weeks if only 1 day a week is a working day.
You can:
- Quickly set the default Project Calendar, such as Monday through to Saturday.
- Quickly set for each of the 5 personal calendars which days of the week are working days and
which are non-working days. (useful for part-time workers)
- Select and mark days as holidays for each the Project or personal Calendars.
With this feature, you can check the summary of the work allocated to the resources to make sure no-one has been over-allocated with tasks that they could not complete..
Select multiple resources and view the % task allocations on the Allocation Calendar – this shows a sum of all of the individual tasks for the resource for each day of the project. The allocations are colour coded to help identify any over allocations.
Also, if a resource is working in more than one team, then select all of these teams on the Allocation calendar to get a total perspective of their loading.
Each section within SmartPlanner has a detailed and comprehensive help page which explains how to complete and use each part of the planning tool.
Colleagues will be able to update progress made against any task and send it back to the project manager.
No need for a licence for everyone!
